Problem
Assembling a year's tax package from many accounts across many banks meant weeks of manual work: downloading statements, retyping into spreadsheets, reconciling by hand — and the owner only learned the year's real result when it was too late to plan anything.
What we built
Upload every statement — PDF, Excel or CSV, from any bank. The system extracts transactions in bulk, verifies every section against opening and closing balances to five cents, quarantines anything that doesn't reconcile instead of hiding it, and asks one question at a time; each answer becomes a permanent rule, so the same question doesn't come back. A dashboard shows quarterly P&L and run-rate all year, and the output is a categorized, reconciled package with the questions worth taking to the CPA.
What changed
Weeks of work per year condensed into uploads and a short review queue. Earnings are estimated in advance instead of discovered in April — so tax planning and investment decisions happen while they can still change the outcome.

Pilot: one full fiscal year — 55 statements, 2 countries, 2,100 transactions, every section reconciled, 15 human confirmations.

What the system does

  • Upload statements from any bank, card or wallet — PDF, Excel or CSV; bank, country and currency detected automatically
  • A reconciliation gate per section: opening plus movements must equal closing, to five cents, before anything enters the ledger
  • Whatever doesn't reconcile is quarantined visibly — never silently dropped
  • A coverage map shows which months of which account are in, and where the balance chain breaks
  • Review is one question at a time, ranked by dollar impact, with the proposed category and its reasoning
  • Every answer becomes a permanent rule, re-applied across the whole ledger — “this rule matched N similar transactions”
  • Multiple fiscal entities per account — person, company, country — and everything hangs off the entity
  • Internal transfers and mirrored card payments detected, so consolidation never double-counts
  • Multi-currency, converted with daily official exchange rates
  • Category-by-month reports, P&L, per-property breakdowns and one-click Excel export
  • Invoicing built in: clients, auto-numbered invoices and quotes per entity, recurring contracts that draft themselves, and invoice-to-deposit matching against the ledger
  • A dashboard with quarterly P&L, a run-rate horizon and a “what to do now” list
  • An advisory layer turns ledger signals into a printable agenda of questions for your CPA — explicitly not tax advice
  • Source files are kept 30 days and deleted; account numbers stored as last-4 only

By the numbers

  • Pilot: one full fiscal year — 55 statements, 2 countries, 2 currencies, ~2,100 transactions
  • 95 of 95 sections reconciled — 100%
  • 15 human confirmations and 12 seed rules for the whole year
  • Reconciliation tolerance: five cents
  • The CPA now closes the annual declaration in about a day — down from two weeks, by the owner's account
  • Full days returned to each person's year — the statement-chasing and retyping are gone
